Job Description

We are seeking a dedicated and service-oriented Clinic Assistant to support the smooth and efficient operations of our clinic. The ideal candidate will provide high-quality patient care, ensure excellent service delivery, and uphold clinical standards in accordance with safety and regulatory requirements.

Key Responsibilities
Patient Care & Clinical Support

Deliver safe, effective, and high-quality care to all patients in line with clinic safety policies and established nursing competencies.

Serve as a chaperone for medical procedures when required.

Assist in ensuring the smooth day-to-day operations of the clinic.

Maintain cleanliness and hygiene of clinic rooms, equipment, and work areas, adhering strictly to infection control policies.

Assist patients with appointment scheduling and follow-up arrangements.

Prepare and update daily consultant census and ensure accurate reporting.

Make reminder calls and send reminder messages to patients a day before their scheduled appointments.

Coordinate laboratory investigations, specialist referrals, diagnostic procedures, and medication orders.

Handle incoming phone enquiries professionally and provide accurate information to patients and customers.

Prepare patient medical records by collecting necessary personal and health information.

Maintain complete and accurate patient records for clinical review and health insurance documentation.

Guide patients through clinic facilities, processes, and procedures to ensure a smooth experience.

Perform additional clinical or administrative duties as assigned by supervisors.

Quality Improvement & Risk Management

Observe, report, and document any near misses, incidents, accidents, injuries, or work-related illnesses.

Uphold patient and family rights concerning safety, privacy, and confidentiality.

Adhere to accreditation standards and contribute to quality improvement initiatives.

Resource Management & Data Entry

Use medical consumables and stationery efficiently to minimize wastage.

Ensure effective stock management to maintain adequate supplies in the clinic.

Perform accurate billing and patient charge entries.

Ensure proper documentation and timely data entry within the hospital or clinic system.

Assist with ad-hoc tasks assigned by supervisors or management as required.

Customer Service

Work collaboratively and professionally with doctors, colleagues, and other departments to deliver exceptional customer service.

Communicate effectively to maintain a supportive, respectful, and patient-centered environment.

Working Hours

Monday–Friday: 7:30am–5:00pm or 8:30am–6:00pm

Saturday (Half Day): 7:30am–1:00pm

Saturday allowance provided

Requirements

Minimum SPM qualification with a pass in all subjects, or a Diploma holder.

Prior experience working as a Clinic Assistant in a hospital or clinic setting is preferred.
