Job Description

Gleneagles Hospital Kuala Lumpur is seeking a dedicated and detail-oriented Medical Affairs Executive to join our Medical Affairs Department. This role is pivotal in supporting medical specialists, streamlining administrative processes, and ensuring smooth departmental operations. The successful candidate will deliver high-quality secretarial support, manage medical documentation, and foster effective communication across departments while maintaining the highest standards of professionalism and confidentiality.

Key Responsibilities

Secretarial & Administrative Support

Plan, organize, and coordinate departmental and committee meetings (MDAC, sub-committees, Clinical Heads).

Arrange meeting logistics, including venue and F&B.

Transcribe and prepare minutes for non-clinical and selected clinical meetings.

Manage daily correspondence, appointments, and follow-up systems.

Consultant & Tenancy Agreement Management

Issue, stamp, and distribute agreements following Credentialing & Privileging approvals.

Monitor contract expiry dates and ensure timely renewals or amendments.

Medical Specialist Onboarding & Support

Prepare ID tags, rubber stamps, and essential materials.

Draft and process offer, acceptance, and rejection letters.

Coordinate and confirm consultants’ on-call rosters.

Documentation & Record Management

Digitize, file, and update specialist documents in secure folders.

Maintain organized filing systems and oversee document flow.

Safeguard confidentiality and ensure professionalism in all documentation.

Requirements

Diploma in Secretarial Studies, Business Administration, or a related discipline.

Minimum 3 years of working experience, preferably within healthcare or hospitality.

Strong organizational skills with the ability to multitask effectively.

Meticulous, detail-oriented, and able to handle sensitive information discreetly.

Excellent communication and interpersonal abilities.

Proficient in Microsoft Office applications.

Professional, dependable, and adaptable with willingness to travel when necessary.
