POSITION:

ASSISTANT MANAGER (CLINIC)

Requirements:

Woman
Minimum requirement SPM/Diploma/Degree in any field
Diploma or Bachelor’s Degree in Healthcare Administration, Business, or a related field will be advantageous.
Prior experience in a healthcare setting or clinic management role.
Excellent communication, leadership, and organizational skills.
Ability to work in a fast-paced environment and handle challenging situations with professionalism.
Confident and healthy body image
Professional, friendly and courteous personality
Possess own transport
Have positive & supportive attitude
Good team player
Proficient in Microsoft office (Excel, Word, PowerPoint) and basic computer function
Working hours: 45 Hours per week
Job Description:

1. Operations Management

Assist in managing daily clinic operations to ensure a smooth and efficient patient flow.
2. Staff Management

Support in staff scheduling to ensure adequate coverage for all shifts.
Help onboard, train, and mentor new staff members.
Supervise clinical and administrative staff, providing guidance and addressing performance issues as necessary.
Conduct regular team meetings to discuss updates, address concerns, and review performance goals.
3. Patient Experience

Ensure patient satisfaction by maintaining high-quality customer service standards.
Handle patient complaints and concerns professionally, ensuring prompt resolution.
Oversee the patient registration, billing, and follow-up process to streamline patient experience.
4. Financial and Billing Support

Assist with daily financial tasks, such as handling cash transactions, billing, and copayment collection.
Ensure billing accuracy and compliance with clinic policies.
Support the Clinic Manager in financial reporting and budget monitoring.
5. Quality Assurance and Compliance

Maintain compliance with health and safety regulations, ensuring a safe environment for patients and staff.
Ensure that the clinic adheres to regulatory standards, including proper handling and disposal of medical waste.
Monitor and ensure high standards of cleanliness, hygiene, and infection control.
6. Administrative Support

Oversee appointment scheduling, patient records management, and other administrative tasks.
Coordinate with the marketing officer to update the Telegram channel with relevant information, including the daily on-duty doctor.
Manage the cash file updates for any outstanding copayments after patient follow-up.
7. Reporting and Communication

Assist in generating reports on clinic performance, patient feedback, and staff productivity.
Assist the Clinic Manager in coordinating with external parties, including pest control and equipment vendors.
8. Marketing and Patient Outreach

Work with the marketing officer to develop and implement strategies to enhance patient outreach and clinic visibility.
Support initiatives to increase patient engagement and awareness of clinic services.
Ensure all equipment and facilities are well-maintained, coordinating with vendors for repairs as needed.
Monitor and manage inventory levels for medical and office supplies.
Assist in implementing and monitoring operational policies, procedures, and protocols.
